Privacy Policy

This Privacy Policy describes how Elite Sports Medicine (“we,” “us,” or “the practice”) handles information collected through this website, elitesportsmed.org (the “Site”). This policy covers the Site only. Information you share with us as a patient in our offices is protected health information governed by our Notice of Privacy Practices under HIPAA, which is provided to you at the practice — this website is not a patient portal and is not intended for the exchange of medical records or detailed health information.

Information we collect

We collect only what is needed to respond to you:

• Appointment requests. If you submit the appointment request form, we collect your name, phone number, email address, preferred office location, and an optional short note about the reason for your visit. Please do not include detailed medical information in this form.
• Front-desk assistant. If you use the chat assistant, the messages you type are processed to generate a reply (see “Service providers” below). Chat messages are not stored by the Site. Please do not share personal or health details in the chat.
• Site analytics. We use Vercel Web Analytics, a privacy-focused, cookie-free analytics service that reports aggregate page-view statistics. It does not build individual visitor profiles.

We do not run advertising, advertising trackers, or social-media pixels, and we do not sell, rent, or trade any information collected through the Site.

How we use information

Information submitted through the appointment request form is used solely to contact you about scheduling. Chat messages are used solely to generate the assistant’s reply in that conversation.

Service providers

Like most websites, the Site relies on a small number of service providers to function:

• Vercel hosts the Site and provides its cookie-free analytics.
• Resend delivers appointment request submissions to our office email.
• Anthropic or xAI process chat assistant messages to generate replies. These are third-party AI providers; do not include personal or health details in chat messages.
• Google supplies the embedded office maps and the Site’s typefaces. Loading a page sends your IP address to Google, and the embedded maps may set Google cookies, subject to Google’s privacy policy.

Cookies

The Site itself sets no cookies. Third-party cookies may be set by the embedded Google Maps. See our Cookie Policy for details and how to control cookies in your browser.

Children’s privacy

The Site is intended for a general audience and is not directed at children under 13. We do not knowingly collect personal information from children under 13. Appointment requests must be submitted by an adult; a parent or legal guardian should submit any request relating to a minor. If you believe a child under 13 has submitted personal information through the Site, contact us and we will delete it.

Data retention and security

Appointment request submissions are delivered to our office email and handled under the practice’s record-keeping policies. The Site is served over HTTPS. No method of transmission is completely secure, which is why we ask you not to submit detailed medical information through the Site.

Your choices

You may contact us at any time to ask what information you have submitted through the Site, to request its correction or deletion, or to raise any privacy concern. You can always call the office instead of using any online feature.

Changes to this policy

If we change this policy, we will post the updated version on this page with a new effective date.
